Southern African Virtual School Course Withdrawal and Refund Policy
Withdrawal and Refunds within 7 days
Need to withdraw from a course? Our goal is to make this process as easy as possible. A parent or guardian must email SA Virtual School at firstname.lastname@example.org no later than 7 business days following your initial enrolment application. Once we receive the notification, we will cancel the application. Should a payment have been made within this 7 day period, we will process a refund less a R750 administrative fee. Refunds will be processed within 10 business days of receipt. The refund will be applied back to the original form of payment. Please realize it can take several days for the refunded amount to appear in your account.
Withdrawal and Refunds within 28 days
A student who, after having been enrolled, having paid the applicable fees to SAVS and having commenced their series of courses, may wish to withdraw from the applicable study program and qualify for a proportional refund. The student or parent or guardian must email SA Virtual School at email@example.com, no later than 28 days following the date of the initial enrolment application, to qualify for a refund. Once we receive the notification, we will cancel the enrolment and we will process a refund of 50% of the tuition fee. Registration fees are not refundable in this instance. Refunds will be processed within 10 business days of receipt. The refund will be applied back to the original form of payment. Please realize it can take several days for the refunded amount to appear in your account.
Withdrawals on this nature result in the cancellation of the 12 month enrolment and all access to the applicable study program is terminated.
Withdrawal and Refunds after 28 days
Students do not qualify for any refunds once 28 days have passed since the date of their initial enrolment application. Students wishing to withdraw at this stage may do so, however their 12 month enrolment will remain active and they will have full access to the applicable study program. In cases such as this, the Southern African Virtual School will notate their enrolment status as inactive and grades for incomplete courses will be marked as "W" (Withdrawn).
Loans from Financial Institutes
Students, parents or guardians may avail themselves of Study Loans from financial institutions for the Southern African Virtual School study programs. In the case of withdrawals from the study programs as detailed above, the student, parent or guardian remain directly responsible to the applicable financial institute for any outstanding amounts on the study loans.
In the case of the Southern African Virtual School having a study loan agreement with the applicable financial institute, the Southern African Virtual School will make refund payments directly to that financial institute, all outstanding balances on that particular study loan, after the refund payments, remain the responsibility of the student, parent or guardian as per their study loan agreement with that financial institute.
Application, Enrolment and Guidance & Counselling Fees for the SAVS Virtual Diploma Program are non-refundable.
SA Virtual School Student Contact and Drop Policy
SA Virtual School sets high expectations for the success of its students. We are committed to meeting the needs of all students and will work tirelessly to facilitate student success. To maintain instructional momentum, students are required to submit assignments in their course on a weekly basis and to maintain regular contact with their instructors.
Any student who does not make progress in the course for a period of 14 days and has not made prior arrangements with his/her instructor will be referred to a lead teacher or the SAVS Academic Director in an attempt to communicate the urgency of recommitting to the course.
When attempts to contact the family are successful, the lead teacher or SAVS Academic Director will work with students and parents to design a plan for success in the course. The plan will include work and contact commitments from the student. This process ensures than everyone involved with the student’s education – SAVS, student, parent, and, in some cases, schools – acknowledges that consistent work and continuous communication with his/her teacher are what will lead the student to success.
Failure to respond to the lead teacher’s attempts to contact the student, or failure to adhere to the Success Plan created by the student and family, may result in administrative removal from the course with an F grade.
Note that students are expected to complete all of the courses in their study schedule during their 12 month subscription period, although each credit course is designed to be completed in 36 weeks or less. Failure to complete a course during the 12 months will result in re-enrollment costs becoming applicable.
Educator Webinar or Virtual Training
Cancellations must be received at least ten business days before the start of the training for a 50% refund. Any cancellations made fewer than ten business days in advance will not receive a refund, but may be rescheduled at no additional cost. In lieu of canceling your registration, you may designate a substitute to attend the same event in your place at any time prior to the start of the training at no additional cost. All cancellations must be emailed to firstname.lastname@example.org. Full payment must be received ten business days prior to the first day of any training to guarantee the training.
SA Virtual School will abide by the student privacy guidelines set forth by the Family Educational Rights and Privacy Act (FERPA).
The following persons have access to student records:
SAVS Directors, administrative team, and professional staff of the school (teachers, academic counselor)
Appropriate administrative support staff members and other professionals who have a legitimate educational or legal interest in student records as designated by the SAVS Directors.
SAVS may provide an academic transcript to the student’s school upon any request of student’s legal guardian.
In accordance with state and federal privacy laws, students who attain the age of 18 may transfer certain rights related to their academic records. To learn more about this, please contact your guidance counselor.
Some schools assign a lab facilitator to help students who use school labs to access SAVS courses. Facilitators will have access to students’ online work. Facilitators will not have access to students’ demographics.
No member of the SAVS staff is authorized to release student information without the written permission of the student’s legal guardian or without approval of the SAVS Directors.
Names, images, and/or coursework of SAVS students will not be published in print, video/film, or on our website without written consent from student and guardian.
All SAVS students are provided a unique password to access online courses. It is the student’s responsibility to keep his/her password in confidence.
We use web statistic software to track visitors to our site, but this data does not include any personally identifying information such as name or email address. Individual identifying information is not provided to any other party without your consent, or as otherwise required by law. However, aggregated and anonymous data about groups of members may be collected and shared with participating agencies and/or companies. An example of such information might include, “X% of visitors come to our site between the hours of 7:00 and 9:00 p.m.
All the data you provide to us is protected to ensure both the privacy and security of your data. We use state-of-the art technology to keep your personal information as secure as possible to ensure that no one will be able to tamper with, intercept or access your data. Remember to keep your account information private and secure; do not share your password with anyone!
